Vacancy: Lettings Manager / Assistant to Estates & Building Manager

Hours: Full time – permanent, 40 hours per week

Remuneration: Based on experience, £21k+

Reports to: Estates & Building Manager and General Manager

Summerhall is a vibrant arts and entertainment hub in the centre of Edinburgh, located in the old Royal Dick School of Veterinary Studies by the Meadows. Summerhall is currently seeking a Lettings Manager to oversee the commercial letting side of the business which covers 120 companies in residence, all of which are in the arts or creative industries. The role is multi-faceted but mainly involves the day to day running of the Lettings Department. Applicants should be comfortable working in an office environment and have experience working with clients, tenants, and other key stakeholders.

Job Description

· Assistant to the Estates & Building Manager

· Responsible for organising pre-let negotiations, including details of start dates and lease length

· Managing lease production and signing, invoicing of deposit and initial rent amount, organisation of appropriate locks/keys security access cards

· Negotiation and organisation of any required maintenance/renovation prior to tenant’s move in

· Ongoing creation of a tenant skills directory for the community of Summerhall and the visiting public

· Organisation of resident open days and meet ups

· Pre-let liaison with Summerhall’s tech services to set up of appropriate telephone and internet requirements for new tenants

· Control and management of access cards/key fobs (including issuing and programming) and maintaining records of all tenants

· Accounting for rented spaces using Xero software

· Point of contact for tenants for all on-going maintenance, letting concerns and lease alterations

· Point of contact for maintenance team for instructions on Letting maintenance tasks

· Participant in working group for the ongoing Health and Safety risk assessments

· Organisation of Vehicle Insurance and Vehicle Taxing

· Preparation of board level reports/statements and submission of tenancy paperwork directly to the Landlord

· Main contact for Business Rates with Edinburgh Council with monitoring of records and processing of business rate payments

Successful applicants should have a desire to join a dedicated team of hardworking individuals that work well in a team setting as well as independently. Excellent verbal and written communication skills are essential. Applicants must also be adaptable to challenging situations and be adept in conflict resolution. A can-do attitude, people skills, and the ability to multi-task effectively are all integral parts of this role. An ability to understand the intricacies of working in a growing arts and entertainment historic building in the centre of Edinburgh would be helpful.
